Global Settings

The Global Settings section is your company's "identity card" in iFlows. The information entered here is fundamental, as it will be automatically used in all documents (quotes, invoices), in communications with clients, and in reports.

Navigate to Settings -> Global. You will find four main tabs:

  1. Company
  2. Addresses
  3. Logo
  4. Access

1. The "Company" Tab

Here you fill in the company's identification, fiscal, and contact details.

  • Identification Data: Complete the standard fields such as Company Name, Country, County, Locality, Address, CIF (CUI) (Fiscal Identification Code), and Reg. No.
  • Contact Data:
    • Mobile Phone: The company's primary contact number.
    • Email: This is the email address where the company will receive automated notifications from the iFlows system.
    • Website: Your website address.

Note: Carefully fill in fields such as the primary Address, Phone, and Website. This information can be automatically retrieved and inserted into the header or footer of documents (quotes, invoices, etc.) and into email templates, depending on the chosen design.

  • Fiscal and Banking Settings:
    • VAT Payer: Select "Yes" or "No".
    • Bank Accounts: Add the company's bank accounts. You can add multiple accounts using the + Add Account button.
      • Use the green switch to enable/disable which accounts you want to appear on issued documents (e.g., invoices).

Setting Default Currencies

These two fields are essential for how iFlows will manage orders.

  • Default Invoice Currency: For companies in Romania, this must be EUR, according to legislation. Invoices, notices, and proformas will be generated by default in EUR, with the possibility of dual display for foreign currency cases.
  • Default Order Currency: This is a strategic decision that defines the currency in which sales orders will be recorded in the iFlows system.

Important note: Choosing the default currency for orders does not affect inventory valuation or NIRs (Reception and Inspection Notes), which must be done in EUR. It influences sales and profitability reports in iFlows.

2. The "Addresses" Tab

This section is used to manage the company's secondary addresses, such as working points, warehouses, or different headquarters.

  • Click on + Add New Address to enter the details.
  • These addresses can be selected later on documents, for example, as a delivery location or loading point.

Detailed tutorial on this topic here.

3. The "Logo" Tab

Here you upload the company's visual identity elements.

  • Logo: The company's main image. It will be displayed in the platform and on all generated PDF documents (quotes, invoices, etc.).
    • Technical recommendation: For optimal quality, use a PNG format image with a resolution of 300 dpi and maximum dimensions of 270px width / 60px height.
  • Browser Favicon: The icon that appears in the browser tab.
    • Technical recommendation: Use an .ico format image with the size of 48x48px.

4. The "Access" Tab

This section is dedicated to security, allowing you to restrict access to the platform.

  • IP Access: You can add specific IP addresses (for example, the office IP) to allow connection to iFlows only from those locations, without logging in.
  • For a detailed configuration of permissions and workflows for each IP, there is a dedicated tutorial accessible here.
