To access, navigate to Settings -> Sales.

The section is organized into tabs, each corresponding to a document type or functionality.

1. Opportunities

This tab allows you to organize and classify sales opportunities (leads).

  • Labels: You can create personalized labels (e.g., Urgent, Contacted by Phone, Website Source, Uncertain) to segment and filter opportunities.
    • How to add: Type the name in the Label field, choose a representative color, and press + Add.
    • Labels can be edited or deleted at any time.

2. Quotes

Here you set the default behavior for quoting documents.

  • Quote Series
  • Quote Start Number: Enter the number from which the quote sequence should begin (e.g., 101).
  • Expiration Notification: Enable this option so that iflows automatically sends a notification email to the customer and the quote author before it expires. You can set the number of days before expiration.
  • Automatic Cost Calculation: (Recommended) Enable this option to see the total costs of products in a quote and quickly estimate profitability.
  • Default Template: Choose the PDF design you want to use for quotes.

3. Orders

Configure details for internal sales orders.

  • Order Start Number, Consumption Voucher, Handover Voucher, Transfer Voucher: Set the numerical series for all these internal documents, essential for the production flow.
  • Bon Consum (Consumption Voucher) / Bon Predare (Handover Voucher): When activated, the system will be able to generate these supporting documents for raw materials removed from inventory and finished products handed over. If deactivated, the Consumption Voucher and Handover Voucher tabs will no longer appear in the "Inventory" section.
  • Import from File: An advanced feature that allows creating an order by importing an estimate file.
  • Minimum Order Restriction: You can impose a minimum amount for orders. If an order does not reach this threshold, it cannot be saved. However, if you wish to set a fee for below-threshold orders, you can assign a fee-type product (e.g., "Small order processing fee" – value 50 EUR). As soon as this product is added, the order can be saved.

4. Invoices, Proforma Invoices, Receipts, Delivery Notes

These sections function similarly, allowing you to set the Series and Start Number for each document type.

  • Key Invoice Functionality: The Overdue Invoice Notification option allows you to automate sending email notifications to customers who have unpaid overdue invoices.

5. Exchange Rate

This is important for companies working with multiple currencies.

  • Display Rate: Enable this option to display the exchange rate on issued documents (quotes, invoices, etc.).
  • Exchange Rate Source: Choose the automatic source for the exchange rate. The most common option is BNR (National Bank of Romania), but you can also choose other banks or enter it manually.
  • Document Import Exchange Rate Source: This strategic setting defines when the exchange rate is "frozen":
    • Default Exchange Rate (Recommended for daily billing): The system will use the BNR rate from the billing day when converting an order from foreign currency to EUR.
    • Document Exchange Rate: The system will use the exchange rate that was valid at the time of the source document creation (e.g., the quote). Ideal when you have agreed on a fixed EUR value with the client.
  • Margin: You can add a margin percentage over the official rate (e.g., 1%) to cover bank fees or exchange rate risk.
  • Last update: Shows you how recently the rate was automatically retrieved by the system.

Even if you have configured an automatic source for the exchange rate (e.g., BNR), you always have full control. In any document (Quote, Invoice, etc.) where a currency conversion is used, you can manually edit the exchange rate directly in the document.
