Although the method of using a simple, generic product is fast, it comes with the major disadvantage of not reflecting real costs and stocks at the time of quoting.
It is not the recommended workflow for two reasons:
- You will not be able to see the real costs of the finished product at the time of quoting. The generic product may have a standard cost, which differs from the real cost of the "Custom Box 30x20x10", thus affecting the accuracy of the profit margin calculated on the quote.
- You will not have visibility over real stocks. Since the generic product is configured with unlimited stock, you cannot check the real-time availability of components or the finished product. This can lead to situations where you accept an order that you cannot fulfill within the promised deadline due to lack of stock.
The recommended solution is to create a Superproduct (composed product). This approach allows you to define a generic "container" product, inside which you add the actual component products (raw materials, etc.).
Advantages of using Superproducts:
- Automatic Cost Calculation: When adding the Superproduct to the quote, the system will automatically sum the costs of all its components, providing you with a clear and instant view of the profit margin. (Ensure that in the superproduct price settings, you have selected the option ”Associated Product Sale Price Source”).
- Visibility Over Stocks: You can check in real-time the availability of the raw materials needed to manufacture the finished product.
- Flexibility in Quoting: You can still use the "Display Product Description Only" and ”Display SuperProduct Only” functions to present the customer with a personalized name, hiding the complexity of the underlying components.
Step 1: Creating the Quote
- Navigate in the left menu to Sales and then to Quotes.
- Click on the + New Quote button.
- Select the desired customer.
- On the product line, in the Choose Product field, select the generic Superproduct you configured (e.g., "Cardboard Box"). Delete the component initially entered in the recipe and add the other real components.
- In the adjacent text field, Product Description, enter the exact name you want the customer to see (e.g., "Custom Box 30x20x10").
- Fill in the quantity and selling price. The cost will be automatically pulled from the Superproduct's components.
Step 2: Configuring the Display on the Quote PDF
This is the key step to mask the internal name of the Superproduct and the component list.
- Scroll to the bottom of the quote page to the PDF Export Options section.
- Enable the "Display Product Description Only" option. Thus, on the generated PDF document, the name of the Superproduct will be completely replaced with the text you entered in the "Product Description" field.
- Enable the option ” Display SuperProduct Only”, to hide the Superproduct's components.
Step 3: Transforming the Quote into an Order
After the customer accepts the quote, you can transform it directly into an order.
- Click on the Generate Document icon and select Order.
Step 4: Managing the Order
When the order is generated, the system will pull the Superproduct with all its components. Manual replacement of the product is no longer necessary, as the order already contains the correct "recipe" for production, with the associated costs and raw materials.
- The system will generate a new order that takes the Superproduct and its components.
- From here, you can send the order further into the production flow, already having all the correct information regarding costs and material requirements.
- Save the order to finalize the process.
If you did not use the correct product/superproduct, now is the time to replace the generic product with the specific one, to ensure correct inventory records.
- The system will generate a new order that pulls all the data from the accepted quote. You will see that the generic product still appears on the line.
- Click on the name of the generic product.
- Search and select from the product list the real, specific product that you will produce or deliver (the one that has stock management).
- The generic product will be replaced with the specific one, while also keeping the personalized description, if you wish.
- Complete any other necessary details on the order (e.g., production details, instructions) and click Save.

You can configure the system so that the "Display Product Description Only" / ”Display SuperProduct Only” options are always active.
Part 1: Modifying the PDF Template
- Navigate to Settings > Templates.
- Select the PDF tab.
- Find the template you use for quotes and click on the Edit icon. (If you are using a predefined template, you will first need to clone it).
- In the template editing page, scroll down to PDF Export Options and permanently check the option "Display Product Description Only" / "Display SuperProduct Only"
- Save the template.
Part 2: Setting the Modified Template as Default
Now that you have modified the template, you must instruct the system to use it automatically for all new quotes.
- Navigate to Settings > Sales Settings.
- Select the Quotes tab.
- In the Default Template field, select the new template you just edited or cloned from the list.
- Click Save.
Done! From now on, every time you create a new quote, the system will automatically use this template, and the "Display Product Description Only" / "Display SuperProduct Only" options will already be active, ensuring a personalized presentation for the customer without any extra effort.

1. Does a Superproduct need to be created for each type of personalized product, or can we use a generic one and just edit the components?
→ The recommendation is to create a generic Superproduct (e.g., „Cardboard Box”), and in the quote, edit the components and description according to the customer's specifications. This way, you don't clutter the catalog. However, for recurring or standardized products, it is worth saving a dedicated Superproduct.
2. Can we reuse the same Superproduct for multiple customers with different names?
→ Yes. You can reuse the same Superproduct and change only the visible name in the Product Description field. The system will calculate the real cost from the components, and the customer will only see the personalized name.
3. How do you handle the variant where the finished product has multiple options (e.g., different types of cardboard, colors, accessories)?
→ The recommendation is to define a „standard” Superproduct recipe that contains all possible components (full skeleton). At the time of quoting or ordering, quickly adjust the recipe by modifying the components:
- either delete the component line and add the correct product,
- or click on the component name and replace it directly by entering the desired variant.
This saves time because you don't have to create dozens of Superproduct variants for every combination. You start from a complete skeleton and adjust it punctually based on the customer's request.
4. When transforming a quote into an order, can we replace the Superproduct directly with the specific product already defined in the catalog without losing the history?
→ Yes. The order pulls the Superproduct from the quote, but you can edit and replace it with the final product from the catalog. The history remains in the quote, and the personalized description can be kept.
5. Can we have different templates (one that shows details and another that hides them) and choose punctually what we send to the customer?
→ Yes. You can clone the PDF templates and set different display options. For each quote, choose the desired template before exporting.
6. If we have multiple departments/salespeople, can we set different display rules for each?
→ Yes, by allocating different default templates per user or division. This way, each department can work with its own standardized format.
7. How do these settings affect financial and sales reports?
→ It does not affect them. Internal reports are based on the real product and components from the quote/order. Display options only influence external documents (PDF sent to the customer).
