1. In short

Additional Details is the formatted text attached to a product line in a quote or an order, edited from the form through the pencil icon next to the description. This optimization brings the additional details into Workflow as well: after the product name a pencil icon appears which opens a view pop-up, and the line description is visually highlighted in the flow. That way operators see the line instructions without opening the order. The feature is used by the sales teams (who fill in the details) and by the production operators (who read them in the flow).

  • Sales → Orders → the order form → the pencil icon next to the product line description

  • Workflow → the Orders tab → the expanded product rows of the order → the pencil icon after the product name
  • Workflow → the Products tab → the pencil icon after the product name
  • Workflow on mobile → the product cards and the product list of the stage → the pencil icon
  • the order / quote details page → the Additional Details pop-up

3. Before you start

  • To see the icon and the pop-up in the flow you only need access to Workflow.
  • The icon appears only on the lines that have additional details filled in.

4. Adding additional details on a product line

Step 1. Open the order or quote form (for example order #1042, client Demo Client SRL), from Sales → Orders or Sales → Quotes.

Step 2. On the product line you need (for example Demo Product 1, code PD-001), press the pencil icon next to the description. The Additional Details edit pop-up opens.

Step 3. Check the context line below the pop-up title: "Order DEMO-1042 - Demo Product 1" (or "Quote <series> #<no> - <product>" for quotes; for orders the number appears without the series). For a document that has not been saved yet, the context line contains only the document type and the product.

Step 4. Enter the text in the editor. You can use the formatting in the editor bar and the Additional Details styling button. The quote form now uses the same version of the editor as the order form.

Step 5. Press Add Additional Details to confirm the text, then save the order or the quote as usual.

Note: the pencil icon in Workflow appears only after the document is saved with the additional details filled in.

5. Viewing the additional details from Workflow

Step 1. Open Workflow and choose the Orders tab (expand the order row to see the product rows) or the Products tab. On mobile, open the product cards or the product list of the stage.

Step 2. Find the blue pencil icon after the product name. It appears only on the lines that have additional details.

Step 3. Press the pencil icon. The Additional Details view pop-up opens, without selecting or expanding the row. The pop-up contains the context line "Order DEMO-1042 - Demo Product 1", the formatted content in a scrollable area and the Close button.

Note: the content cannot be edited from this pop-up. The same view pop-up is used on the order page and on the quote page.

Step 4. Press Close to go back to the flow.

Note: the pencil icon does not appear in the Employee Allocation tab, nor in the stage pop-ups.

6. Recognising the line description in the flow

Step 1. Look at the dimensions block of a product line, wherever it is shown in the flow: the Orders, Products, Employee Allocation tabs, the stage pop-ups and the product list of the stage on mobile.

Step 2. Find the description text: it is shown after the dimensions and quantity, preceded by "|", and it now appears bold, black and underlined.

Note: the line description is highlighted on the rows without additional details as well; only the pencil icon depends on the details existing.

7. What you see afterwards

  • In Workflow (the Orders and Products tabs, the cards and the product list of the stage on mobile): a blue pencil icon after the product name, on the lines that have additional details.
  • The Additional Details pop-up (flow, order page, quote page): the context line "Order <no> - <product>" or "Quote <series> #<no> - <product>".
  • The edit pop-up in the order / quote form: the same context line; for unsaved documents, only the document type and the product.
  • The line description in the flow: bold, black and underlined, wherever the dimensions block is shown.

8. Rules and limits

  • The pencil icon appears only when the line has additional details.
  • Clicking the icon opens the pop-up without selecting or expanding the row.
  • The icon does not appear in the Employee Allocation tab, nor in the stage pop-ups; the description highlight does appear there too.
  • The view pop-up does not allow editing; editing is done only from the order or quote form.
  • The quote form uses the same version of the editor as the order form, including the Additional Details styling button.

9. Settings and permissions

There are no new settings and no new permissions:

  • the icon and the view pop-up — visible to anyone who has access to Workflow;
  • editing the additional details — the existing rights on the order or quote form.

10. Impact on other modules

  • Workflow (web and mobile): a new icon, a pop-up with a context line, a highlighted description.
  • Sales → Orders: the edit pop-up and the view pop-up get the context line.
  • Sales → Quotes: the editor aligned with the one in the order, a context line in the pop-ups.
