The iflows platform has two main methods to identify who is performing an action, via login or via PIN:
  1. User login: If a user is logged into the platform, the system will monitor all their actions without the need to use the PIN, even if one is set. Logging in is sufficient for the platform to know who is performing the actions.
  2. Unauthenticated user using a device logged in by someone else: If someone is logged into the platform, but another person wishes to perform an operation from the same device, they can use their personal PIN. This way, the system will know that the person who performed the action is different from the one logged in.
  3. Direct access based on IP address, without login: In certain preset locations (e.g., the production department), the platform can be configured to automatically open the workflow, without any user being logged in. This works based on the device's IP address, and operators do not need to log in to start working. All they have to do is enter their personal PIN when they pick up or complete a task.

How does the
PIN work in the workflow?

The PIN is requested only in the workflow and was created for operators who do not need to log into the platform but must be correctly identified when picking up tasks.

Workflow without login (based on IP):
  • In preset locations, the platform can be configured to open the workflow automatically, without requesting a login. This functionality is activated based on the IP address of the location.
  • Operators will access the platform and be able to pick up tasks by entering their 4-digit PIN, previously set in their personal page.
How to set IP addresses for automatic access in the workflow:
  1. Navigate to SettingsGlobalAccess Tab.
  2. In this section, you can add the IP addresses of the desired locations and name each location for easy identification.
  3. To find the device's IP address, you can use sites such as adresaip.ro or verificaip.ro.
After configuring the IP addresses, you have the option to limit what information operators from that location can see. For example, you can set whether operators can see:
  • Customer name associated with the order.
  • Order value.

If these options are disabled, operators will not have access to this information.

In conclusion:

  • Operators working in locations with predefined IP addresses can access the workflow without logging in.
  • Logged-in users do not need a PIN to be identified in the platform.
