    1. + Add Product: This option allows for the manual addition of products, providing the possibility to fill in every specific information field for each item in detail. It is the recommended method when adding new products individually.
    2. + Import from File: This functionality is designed for the rapid and efficient addition of a large volume of products simultaneously (bulk import), using a file in Excel format (.xls or .xlsx).

Understanding Product Typologies in iFlows

Before going through the form fields, it is useful to know that products managed in iFlows can belong to several typologies, each with its own specifics:

    • Raw Materials: Represent the components or basic materials used in internal production processes.
    • Services: Include performances that do not involve a tangible physical good, such as consulting services, maintenance, design, assembly, etc.
    • Finished Products: Items that are ready to be commercialized to customers.
    • Super Product (Compound Product / Recipe): This is a special category, designating a product that is, in fact, an assembly formed by several other individual products (components) and/or services. Relevant examples include promotional packages (e.g.: "Standard Office Equipment Package" = 1 desk + 1 ergonomic chair + 1 lamp) or products manufactured internally based on a specific recipe (e.g.: "OFFICE Model Desk 120x60x75 cm" = 18 mm melamine PAL (white) 1.6 sqm + 0.4 mm ABS Edge (white) 3.6 m + 3.5x40 mm self-tapping screw 12 pcs + ø15 mm Minifix assembly system 4 sets + Ø50 mm metal leg, H=710 mm 4 pcs + ø15 mm decorative screw caps 4 pcs...)

Section: Name (General Identification and Product Classification Information)

The first section of the form, titled Name, comprises the essential fields for unique identification, classification, and general organization of the product within the system.

    1. Name (* indicates a mandatory field):

        • For internally manufactured products or for services, it is advisable to establish and use a clear, standardized, and consistent naming convention at the company level to facilitate identification and management.
        • This name will be considered the default within internal product lists, in reports generated by the system, and in various other modules, unless an alternative name is specified via the "Alias" field.

    2. Alias:
      • Main Explanation: This field offers the possibility to define an alternative or secondary name for the product.

        • Use for External Documents: If you want a more commercial, simplified name adapted to a certain customer segment to appear on documents intended for customers (personalized quotes, proforma invoices, fiscal invoices in PDF format), it can be entered in the "Alias" field.
        • Use for Internal Use or Supplier Relations: You can configure "Name" to be the name visible to the customer, and "Alias" to represent a specific internal name, an internal identification name easier for employees to remember, or the name under which the product is recognized.

        • Tags can be created directly in this field when adding the product (by simply typing and pressing the Enter key) or can be predefined and managed centrally in Settings > Products > Tags.

Even if the generic product name may be the same, the iFlows system will treat them as distinct items based on the selected supplier, thus ensuring the accuracy of purchase costs, inventory management, and the ordering process.

    8. CPV Code (Common Procurement Vocabulary):
      • Main Explanation: The Common Procurement Vocabulary is a standardized classification system used in the European Union to describe the subject of public procurement contracts.

    10. Show in Customer Account (Toggle):
      • Main Explanation: This toggle controls the product's visibility within the online portal dedicated to customers (iFlows B2B functionality, if used by your company).

        • If enabled, the product will be listed and visible to customers accessing their online account, allowing them to see details, prices (depending on configurations) and, potentially, enter additional information.

This section is intended for defining products that are made up of several components, whether it is a sales bundle or an internally manufactured product according to a specific recipe. Activating this section transforms the current product into a "Super Product".

    1. "+ Add Product" Button (located within the Super Product section):
      • Action: Pressing this button initiates the process of defining the Super Product structure, allowing for the addition of individual components.
    2. Super Product Quantity:
      • Main Explanation: This field specifies the number of units of the final Super Product (the item you are currently configuring) that result from the combination of components that will be listed below.

However, there may be specific production situations where a certain "batch" of components can generate a multiple number of units of the finished product.

    3. Component Lines (added individually for each element of the Super Product):
      For each individual product or service that goes into the composition of the Super Product, the following information will be filled in:
      • Position: Represents the sequence number of the component within the Super Product's structure (recipe or package). This field has an organizational role and helps in a clear and structured visualization of the components.
      • Associated Product:
        • Explanation: From this field, each component element is selected from the general nomenclature of products and services existing in the iFlows platform. Components must be previously defined as individual products.
        • Action: Start typing the name of the component product, and the system will display a list of suggestions from which you can choose the correct item.
      • Width, Length:
        • Explanation: If the component product is used in the Super Product with certain specific dimensions (for example, a certain area of a material or a certain length of a bar is consumed), these fields must be filled in. The unit of measurement for these dimensions will be the one defined for the component product itself.
      • Pieces:
        • Explanation: Specifies the quantity needed from the associated product (component) to produce the number of Super Product units as defined in the "Super Product Quantity" field.
        • Usage Examples: If the Super Product is "Office Promotional Package" (defined as 1 unit at "Super Product Quantity") and it contains, among others, "Wireless Optical Mouse", then for the "Wireless Optical Mouse" component, at "Pieces", "1" will be entered. If for the manufacture of one "Premium Model Conference Table" unit, 4 "Luxury Model Chrome Metal Legs" are needed, then for the "Luxury Model Chrome Metal Legs" component, at "Pieces", "4" will be entered.
      • Change Equipment (Toggle):
        • Explanation: An advanced functionality, relevant for production processes. If this toggle is activated for a certain component, it allows that, at the time of generating a production order for that Super Product, that component can be processed on another piece of equipment, thus offering flexibility and adaptability in production planning.
      • Delete Button (represented by a red trash can icon): Allows for removing that line (the component) from the Super Product structure.
    4. "+ Add Product" Button (located below the list of already added components):
      • Action: Pressing this button adds a new empty line to the component list, allowing for the definition of an additional element in the Super Product structure.

Section: Price

Correct configuration of price parameters is essential for ensuring the accuracy of commercial documents and for a correct analysis of profitability.

    1. Currency (* mandatory field):
      • Main Explanation: Select the currency in which the selling price of this product will be expressed and managed.
      • In-depth Details and Recommendations:
        • The platform allows working with multiple currencies (EUR, EUR, USD etc.).
        • In case the selected currency for the product differs from the company's default currency (configured in Global Settings), the iFlows system will automatically perform the necessary currency conversions within documents (quotes, orders, invoices). These conversions are usually based on the official exchange rate of the Banca Națională a României (National Bank of Romania) on the day the document is issued, or they can use a manual exchange rate if one has been specified.
      • Action: Choose the appropriate currency from the dropdown list.
    2. Sales UM (* mandatory field) (Unit of Measurement for Sale):
      • Main Explanation: Define the standard unit of measurement in which the product is commercialized to customers.

          • For UM such as sqm (square meter): Typically, both fields, "Width" and "Length", will be active and editable, allowing for the automatic calculation of the area.
      • Action: Select the appropriate unit of measurement from the dropdown list.
    3. Dimensions UM (Unit of Measurement for Dimensions):
      • Main Explanation: The unit of measurement used to express the physical dimensions of the product (width, length, height), both for calculating quantities in documents and for stock information.
      • In-depth Details and Recommendations: It is important to have consistency between Dimensions UM and how dimensions are expressed in the Stock section.
      • Action: Select the suitable unit of measurement from the dropdown list (e.g.: mm, cm, m).
    4. Purchase Cost (* mandatory field):
      • Main Explanation: Represents the purchase cost of the product, expressed according to the Sales UM selected earlier.
      • In-depth Details and Recommendations:
        • At the time of initially adding the product to the system, you will enter the known purchase cost at that time (for example, the last price from the supplier).
        • After registering the first accounting entry for this product (through a Nota de Intrare și Recepție - NIR), the value in this field will be automatically updated by the system. Subsequently, iFlows will calculate and use the Cost Mediu Ponderat (CMP; Weighted Average Cost) for evaluating stocks and determining profitability for each sale. CMP is automatically recalculated as new purchases of the product at different prices are registered.
      • Action: Enter the numerical value of the initial purchase cost.
    5. Selling Price Source (* mandatory field):
      • Main Explanation: This field determines the method by which the selling price of the product in commercial documents will be calculated.
      • Options and Detailed Explanations:
        • Purchase Cost: The selling price will be calculated starting from the product's current Weighted Average Cost (CMP). Percentage commercial markup margins, defined in the "Large Business Markup", "Medium Business Markup", and "Small Business Markup" fields, will be added to this CMP, depending on the customer typology.
        • Last Entry / Last Purchase: The selling price will be calculated based on the purchase cost recorded at the most recent entry (NIR) of that product. Percentage markup margins will also be added to this last purchase cost. This method is useful if purchase prices from suppliers fluctuate frequently and it is desired that the selling price reflects these changes as quickly as possible.
        • Fixed Price: Allows for establishing a fixed, absolute selling price for the product. Regardless of purchase cost variations, the selling price will be the one entered manually in the "Fixed Price" field (which becomes active when this option is selected). In this scenario, percentage markup margins no longer apply.
      • Action: Select one of the three options from the dropdown list, based on your pricing policy.
    6. Fixed Price (this field is visible and becomes editable only if you have selected the "Fixed Price" option at "Selling Price Source"):
      • Main Explanation: Enter here the numerical value of the fixed selling price established for the product.
      • Action: Fill in with the desired selling price.
    7. Large Business Markup / Medium Business Markup / Small Business Markup:

    8. Editable Price (Toggle):

        • If disabled: The selling price will be taken automatically according to the rules established in this section (Selling Price Source + corresponding Markup, or Fixed Price) and cannot be modified in the document. This approach ensures greater price consistency and better control over margins.

    9. VAT Rate:

Section: Stock

Correct configuration of the parameters in this section is fundamental for precise inventory management of physical products, allowing for tracking quantities, values, and alerting in case critical thresholds are reached.

    1. Unlimited Stock (Toggle):
      • Main Explanation: This toggle allows for specifying whether the product's stock should be quantitatively tracked or not.

        • If enabled ("ON" position): The system will consider that the product has an infinite stock and will not perform availability checks or quantitative updates upon sale or purchase. This setting is appropriate for:
          • Services: Performances such as consulting, labor, design, which by their nature do not have a physical stock.

          • Fictitious Items for Discounts: In case a percentage or value discount is desired as a separate line on the invoice, it can be configured as a product with unlimited stock.

Managing the stock of a Super Product is done either through the manufacturing process (which involves consuming the components' stock) or, in the case of sales bundles, via the "Allocate Finished Product Stock" option which checks component availability.
        • If disabled ("OFF" position): The system will actively track the stock for this product. This is the standard setting for all physical products (raw materials, goods, finished products) whose inventory is desired to be monitored. Upon disabling this toggle, the rest of the fields in the "Stock" section become active and, in most cases, mandatory.
      • Action: Enable the toggle if the product does not require stock tracking. Leave it disabled for storable physical products.
    2. Management (* mandatory field, if "Unlimited Stock" is disabled):
      • Main Explanation: Select the warehouse or main physical location where this product is stored and managed.

      • Action: Enter the numerical value corresponding to the starting stock.
    5. Minimum Stock Notification (Toggle):
