In this tutorial, we will go through the steps necessary to correctly record payments and receipts, and how to manage them efficiently.

When recording a payment or a receipt in iflows, the transaction type determines where it will be saved:

  1. Cash - The transaction will be saved in the Registru Casa (Cash Register).
  2. Bank Transfer - The transaction will be saved in the Registru de Banca (Bank Register).
  3. No Payment - The transaction will not be saved in any of the registers. This type of transaction is useful, for example, when you credit a reverse invoice and do not need to refund the customer because they haven't paid yet, but you also don't want the invoice to appear as outstanding.

Recording a Receipt or Payment:

  • Navigate to the Sales > Invoices section for receipts.
  • In the action column of the desired invoice, click on the green symbol to record a new transaction.
  • Complete the transaction details, select the payment method, and save.
  • Navigate to the Financial > Purchases section for payments.
  • Proceed similarly by clicking the green symbol in the action column of the desired invoice and completing the transaction details.

Another option for recording payments and receipts is directly from the Financial > Transactions section.

  • Select the desired tab: Bank Register or Cash Register and complete the transaction details.

Setting Payment Methods

To set up payment methods, navigate to Settings > Financial > Payment Methods:

  1. Enter the name of the payment method.
  2. Choose the type: Cash, Bank Transfer, or No Payment.
  3. Click Add to save.

Viewing and Editing Transactions

After an invoice has been collected or paid, it will be available for viewing in one of the two options: Bank Register or Cash Register.

  • Depending on the section from which the receipt or payment was made, the action column will look different:
  • For transactions made directly from the invoice, only the view action will be available. If we want to modify the transaction, we will click on the view symbol, which will open both the invoice and a window that allows us to edit the transaction, delete it, or add another one.
  • For transactions entered directly from the Financial - Transactions page, two actions are available: Delete and Edit.
