1. In short

Two changes in the Quotes module. The first: the Validity field is no longer prefilled automatically — not for a new quote, nor for a quote generated from an opportunity, from a clone or from a new version; the user sets it explicitly on every quote, avoiding quotes that expired the next day. The second: the New Version pop-up lets you choose what is carried over into the new version — the documents, the specifications and, a new option in the platform, the comments. The carried-over comments are view-only copies, marked with the version they come from, so the discussion history is kept without being editable. The feature is used by the sales teams working with quotes and opportunities.

3. Before you start

• For New Version you need the right to edit quotes (or an administrator account).
• To save the form of the new version you need the right to add quotes.
• The carry-over switches appear only if the source quote has documents, specifications or comments.

4. Filling in the Validity

Step 1. Open the quote form through any of the paths: new quote, Actions → Generate Document → Quote from an opportunity, Actions → Clone Quote or Actions → New Version on an existing quote (for example quote #1342, client Demo Client SRL).

Step 2. Check the Validity field: it comes empty in all cases. The validity of the opportunity or of the source quote is not copied.

Step 3. Fill in the Validity field with the date until which the quote is valid.

Step 4. Press Save (or Save and Continue). The quote cannot be saved without the Validity field filled in.

Note: the rest of the carried-over fields (client, flow, product lines, currency, exchange rate, tags, PDF options) stay as before; the quote date becomes the current date, and the status "New".

5. Creating a new version with the documents, specifications and comments carried over

Step 1. Open the details page of quote #1342 (version 1) and press Actions → New Version, or press the + (New Version) button in the Actions column of the quote list.

Step 2. In the New Version pop-up, with the text "Generate a new version for Quote #1342", check the carry-over switches. Each one appears only if the source quote has that element and all of them are on by default:

• Carry over documents — the files in the Documents section are copied into the new version (they appear preloaded in the form). Turned off: the version starts without documents.
• Carry over specifications — the text in Specifications is copied. Turned off: the field comes empty.
• Carry over comments — when the new version is saved, all the comments of the source quote are copied onto the new version. Turned off: the version starts without comments.

Note: if the quote has no documents, no specifications and no comments, the pop-up stays the simple one, without switches.

The "New Version" pop-up with the Carry over documents, Carry over specifications and Carry over comments switches, all on by default.

Step 3. Turn off the switches of the elements you do not want to carry over.

Step 4. Press + New Version. There is no extra confirmation step; the form of the new version (version 2) opens, with the documents preloaded and the specifications copied, if they were carried over.

Step 5. Fill in the Validity field (see chapter 4) and press Save (or Save and Continue). The comments are copied only at this moment; if you abandon the form, nothing is copied.

Note: Clone Quote has no switches — it always copies the documents and the specifications and never copies the comments.

6. Recognising the carried-over comments

Step 1. Open the details page of the new version (quote #1342, version 2) and choose the Comments tab. The tab counter includes the carried-over comments as well.

Step 2. Find the carried-over comments: in the Comment column, at the beginning of the text a "clone" icon appears, with the tooltip Carried over from Version 1. Each carried-over comment keeps the original date and time, the action, the subject, the text, the author employee (for example John Smith) and the attached documents. Being older, in the default descending sort by date they appear below the comments added on the new version.

Step 3. Look at the Actions column: the carried-over comments have no edit or delete buttons, whatever the rights.

Step 4. Open a carried-over comment: the comment view page (Quote Comment) shows it only with the Back button, without Edit and Delete.

Note: the reminder (the reminder itself, the notification date and the notified employees) is not copied — it stays only on the comment in the source version, to avoid double notifications.

7. What you see afterwards

• In the quote form: the Validity field empty for a new quote, a quote from an opportunity, a clone and a new version.
• In the New Version pop-up: the Carry over documents, Carry over specifications, Carry over comments switches (only for the elements existing on the source quote).
• In the Comments tab of the new version: the carried-over comments with the clone icon and the Carried over from Version N tooltip, without edit / delete buttons; the tab counter includes them.
• The comments, documents and specifications of the source version stay unchanged.

8. Rules and limits

• Validity is a required field, with no default value in any of the cases; the quote cannot be saved without it.
• The carry-over switches are on by default, appear only for the elements existing on the source quote and are not remembered between uses.
• The comments are copied when the new version is saved; abandoning the form copies nothing.
• The carried-over comments are view-only (no editing / deleting, whatever the rights); the comment view page shows them without the Edit and Delete buttons.
• The reminder is not copied onto the carried-over comments.
• On successive versions (1 → 2 → 3), the tooltip keeps the version the comment originates from (for example Carried over from Version 1 on version 3 as well).
• Cloning always copies the documents and the specifications and does not copy the comments.
• The Carry over information window when turning a quote into an order stays unchanged.

9. Settings and permissions

There are no new settings and no new permissions:

• New Version — the right to edit quotes (or administrator);
• the form of the new version — the right to add quotes;
• the carried-over comments — cannot be edited or deleted, whatever the rights.

10. Impact on other modules

• Sales → Opportunities: quotes generated from an opportunity have an empty Validity.
• Sales → Quotes → Clone Quote: cloned quotes have an empty Validity; cloning does not copy the comments.
• Sales → Quotes → Comments: the tab counter and the list include the carried-over comments.
• Turning a quote into an order: the Carry over information window stays unchanged.
