1. Recording a receipt from customers
Steps to follow:
- Navigate to the invoices section: Access the left menu at Sales -> Invoices. Here you will see a list of all issued invoices. The "Value" and "Balance" columns provide a clear picture of the total amounts and the remaining amounts to be collected.
- Select the invoice: Identify the invoice for which you want to record the receipt. Unpaid or partially paid invoices will have a non-zero balance.
- Record the receipt: Next to the respective invoice, in the "Actions" column, click the green button with the dollar symbol (Record Receipt).
- Complete the receipt details:
- Receipt Date: Automatically filled with the current date.
- Value: iFlows will automatically pre-fill this field with the total outstanding value of the invoice. If it is a partial receipt, you can edit the amount manually.
- Receipt Method: Choose the payment method from the dropdown menu (e.g., Payment Order, Bank Transfer, Cash on Delivery, Fiscal Receipt - POS, Receipt, etc.).
- Receipt Account: If you chose a bank payment method, select the account where the money was received.
- Details: A pre-filled field with invoice information, which can be edited if you wish to add other details.
- Save: Press the Receive button.
After saving, the invoice balance will be updated automatically. If you click the receipt button again, you will be able to view the Receipt History for that invoice.
2. Recording a payment to suppliers
The process of recording payments to suppliers is similar to that of receipts.
Steps to follow:
- Navigate to the purchases section: Access Financial -> Purchases.
- Select the supplier invoice: Find the purchase document you wish to pay.
- Record the payment: In the "Actions" column, click the green Record Payment button.
- Complete the details: Just like with receipts, fill in the date, amount (which can be partial), method, and the account from which the payment is made.
- Save: Press the Pay button.
3. Viewing daily transactions
All financial operations, whether recorded from invoices, purchases, or manually directly from this section, are centralized in the transactions section.
- Access Financial -> Transactions.
- Here you will find two main registers:
- Cash Register (Registru de Casă): Centralizes all transactions made in cash (e.g., receipts, fiscal receipts).
- Bank Register (Registru de Bancă): Centralizes all transactions made via bank transfer (e.g., payment order, bank transfer, POS receipt).
- You can filter transactions by bank account for a clear view of movements in a specific account.
- A third section, Without Payment, is useful for reversal (stornare) operations where no actual transfer of money occurs.
4. Managing advances and unallocated balances
You can record a receipt without associating it with an invoice:
Steps to follow:
- Go to Financial -> Transactions.
- Click the + New Transaction button.
- Choose transaction type: Receipt.
- Fill in the date, customer, value, payment method, and add relevant details (e.g., "Advance Payment Order X").
- Save the transaction.
This amount will appear in the Sales -> Invoices section, under the respective customer's name, as Unallocated. Later, when you issue the final invoice, you will be able to allocate this amount to partially or fully clear the invoice.
Allocating an excess balance to an invoice:
- Generate the final invoice: Create a new invoice for the customer who has an unallocated balance.
- Initiate the receipt: Go to the newly created invoice and click the Record Receipt button.
- Use excess balance: iFlows will automatically display a warning: "ATTENTION! The customer has an excess balance of X EUR."
- Activate the Use Excess Balance toggle.
- The system will automatically use this balance to partially or fully clear the new invoice.
- Click on Receive to complete the operation. The invoice balance and unallocated balance will update accordingly.
5.Customer's outstanding balance
To support proactive receivables management, iFlows visually notifies you when a customer has debts. When creating a New Order, after selecting a customer from the dropdown list, if they have an outstanding balance, the amount owed will be displayed immediately under their name. This functionality allows you to make informed decisions before taking a new order from a late-paying customer.
6.Correcting and Deleting Receipts and Payments
To maintain data consistency, a transaction (receipt or payment) that is already linked to an invoice cannot be deleted directly from the transaction register. First, the association with the document must be removed.
Steps to follow for deleting an associated receipt:
- Locate the invoice: Go to Sales -> Invoices and find the invoice from which you want to delete the receipt.
- Access the history: Click the green Record Receipt button, as if you wanted to add a new payment.
- Find the wrong receipt: In the window that opens, you will see the Receipt History section. All receipts made for that invoice are listed here.
- Delete the association: Next to the receipt you want to remove, press the red delete button (trash can).
- Confirm: iFlows will ask for confirmation. After deleting the association:
- The invoice balance will be recalculated (it will increase by the amount of the deleted receipt).
- The transaction itself does not disappear, but becomes an unallocated balance for that customer, which you can later reallocate to another invoice or delete permanently from Financial -> Transactions.
The same logic applies to payments to suppliers in the Financial -> Purchases section.
